Create a schedule
Schedules in Clockout are built one week at a time, per store. Until you publish, nothing you do is visible to your team — draft freely.
Build the week
Section titled “Build the week”- Open Schedule and pick the store and the week.
- Select a day, then add a shift with a start time and an end time. You can tag it with a job role. Breaks are not set per shift — they come from your store’s break rules, see Set up your store.
- Assign it to an employee, or tick Open shift (no employee assigned) to leave it for someone to pick up.
Everyone with access to that store appears in the assignment list — the list is not filtered by job role, so you can schedule someone outside their usual role when you need to. If someone is missing from it entirely, they do not have access to this store — see Manage store access.
Copy a past week
Section titled “Copy a past week”Most restaurants run a similar week to a previous one. Use Tools → Copy from past week, pick any past week as the source, and edit the exceptions. Copying adds shifts to the week you are in rather than replacing what is already there, so copy onto an empty week unless you mean to stack them. Copied shifts stay in draft until you publish, and any employee who has since left the store is dropped rather than silently reassigned.
Check before you publish
Section titled “Check before you publish”The week view totals scheduled hours and estimated labor cost as you build, so you can catch an over-scheduled Saturday before it happens rather than at payroll. Watch for:
- Shifts that cross midnight — a shift belongs entirely to the day it starts on, so an overnight shift counts against its start date rather than being split across the two days.
- Days with nobody on a section you need covered.
- Open shifts you have not deliberately left open — see Publish and edit shifts.
Publish
Section titled “Publish”Publishing makes the week visible to your team and sends them a notification. Edits after publishing are allowed; each edit re-notifies only the affected employees — see Publish and edit shifts.
Once the week is running, a call-out is handled in Cover a call-out, and the hours people actually worked are reviewed in Approve timecards.
