Add additional earnings

Anything paid on top of hours worked is entered directly on the draft payroll run, before it is submitted. There is no “add an earning” step and no earning-type picker to choose from: the draft is a grid with one row per employee and a fixed set of columns, and you type the amount into the column it belongs in.

  1. Open Payroll and open the draft run for the pay period.
  2. Find the employee’s row.
  3. Type the amount into the right column and save.

Amounts are per employee, per run, and in dollars. If the same bonus applies to several people, enter it on each row — there is no store-wide “everyone gets this” shortcut, on purpose.

Two columns are hours and come from the timecards: Regular (hr) and OT (hr). The rest are dollar amounts you enter yourself:

  • PTO, Sick, Holiday — paid time that is not hours worked.
  • Paycheck Tips — tips paid to the employee through payroll. These are added to gross pay and reach the employee in their pay.
  • Cash Tips — tips the employee has already been given in cash. These are declared, not paid: they are reported so that tax is withheld correctly, but no money is disbursed for them. Entering a cash tip does not increase what lands in the employee’s bank account — and entering cash tips in the Paycheck Tips column pays them a second time.
  • Additional — any other extra pay, such as a performance or holiday bonus. There is no separate “Bonus” column; a bonus goes here.
  • Reimbursements — repaying a business expense the employee already paid for out of pocket.
  • Deductions — an amount subtracted from the employee’s pay.

Tax treatment depends on the column, on the employee’s payroll details, and on your jurisdiction, and it is applied by your payroll provider — not chosen here. Clockout records the amounts you entered under each column; the provider calculates the resulting taxes and withholding. That is exactly why the column matters: a reimbursement typed into Additional is handed over as taxable extra pay for the whole calculation.

If you are not sure which column a payment belongs in, consult your accountant or tax advisor before you submit — after submission the run is locked.

Review the amounts alongside hours in the same pass:

  • The amount is in dollars, not hours — the only hours columns are Regular and OT.
  • Cash Tips vs Paycheck Tips. This is the easiest one to get wrong and the most expensive: only Paycheck Tips pay out.
  • The right employee, especially where two people share a first name.
  • The right run — a bonus for last period cannot be moved once this one is submitted.
