Run payroll

Payroll in Clockout pays what the timecards say. Everything in this article happens after the pay period’s hours are final.

  1. Close out open punches. Anyone still clocked in from a previous day blocks the run.
  2. Review and approve timecards. Approving locks a timecard so it cannot change underneath the run. Punch corrections are made here, not later — see Clock in on the iPad kiosk.
  3. Check pay rates. A rate change mid-period applies from its effective date, not to the whole period.

Open Payroll, pick the pay period, and start the run. Clockout imports approved hours for every employee at the store and builds a draft with regular hours, overtime, and any additional earnings you add.

Review the draft line by line. The totals worth a second look every time:

  • Overtime hours. Overtime is calculated on the workweek defined in your store settings, which may not match the pay period.
  • Additional earnings. Bonuses, tips, and reimbursements are added here, and each type is taxed differently.
  • Employees with zero hours. Usually correct, occasionally a missed punch.

Submitting sends the run for processing and locks the period. From then on the run is read-only; a correction means an off-cycle run rather than an edit.

You will see each employee’s pay statement once the run finishes processing. If a number looks wrong, start from the timecard that produced it — the pay statement links back to the hours it was built from.
